Before selecting entertainment, check the ceiling height, width of access doors, available electrical supply and any restrictions imposed by the venue. An inflatable that fits within the room’s floor dimensions may still be unsuitable if there isn’t enough overhead clearance or space around it for safe operation.
Ask the venue about its arrangements for catering, too. A hall that allows pre-prepared refreshments may not necessarily permit food preparation equipment inside the main event room.
For larger parties, it helps to draw a simple floor plan showing the proposed positions of the attractions, food service, seating and entrances. Leave the required operating space around each attraction rather than treating its listed dimensions as the total space needed.

Plan the Food Area as Carefully as the Entertainment
Food is an important part of many Christmas parties, but its location should be considered before the event room is filled with games, tables and decorations.

- Whether the venue permits the proposed preparation and serving equipment.

If food is being served by multiple providers, make sure everyone understands which facilities and electrical supplies they have been allocated.
Keep Food and Drinks Away from Inflatable Play Areas
A bouncy castle and a food station can both be part of the same Christmas party, but they shouldn’t occupy the same activity space.
Food, drinks, sweets and chewing gum must be kept off inflatables. Children should finish eating before returning to play, and supervising adults should make sure the attraction’s operating rules are followed.
Position refreshments far enough from the inflatable entrance that food queues don’t interfere with children entering and leaving the equipment.
A separate seating area can make this easier. It gives families somewhere to stop for refreshments while keeping the play area clear for its intended use.
Consider Allergens and Different Dietary Requirements
For a Christmas event with catering, establish what food will be available and how guests can obtain accurate allergen information.
Ask each food provider about the ingredients and allergens in the products they will serve, including toppings, flavourings and any optional extras. Don’t assume that two similar-looking products have identical ingredients or preparation arrangements.
Where guests have notified the organiser of dietary requirements, communicate those requirements to the relevant catering provider in advance. Food providers should be able to explain what they can offer and whether there is a risk of cross-contact during preparation or service.

Don’t Let Queues Take Over the Room

A popular game, inflatable or food station may attract a group of waiting guests. If that queue extends into a doorway or through the middle of another activity area, it can create avoidable congestion.
When planning the layout, consider where each queue is likely to form. Allow room for people to enter and leave attractions, for staff to move around their equipment and for guests using mobility aids or pushchairs to travel through the venue.
Keep emergency exits and designated escape routes unobstructed throughout the event. Christmas decorations, additional seating and temporary catering stations should not compromise those routes.
For larger events, review the layout with the venue and relevant suppliers before opening to guests.
Give Younger Children a Clearly Defined Activity Area
At a family Christmas party, a dedicated children’s area can help separate energetic play from food service and other activities.
Choose equipment appropriate for the intended users and make sure the arrangements for supervision are clear. Children using an inflatable should follow the operator’s instructions, including any restrictions on age, size, capacity or mixing different groups of users.
Adults should also be able to reach the children’s area without having to walk through a food queue or cross the operating space of another attraction.
For parties with a broad age range, suitable arcade or competitive games elsewhere in the venue can provide entertainment for older children and adults while younger visitors enjoy their own activities.
Check Electrical Supplies Before the Event
Indoor Christmas parties can place several demands on a venue’s electrical system at once.
Inflatable blowers, arcade games, catering equipment, lighting and sound systems may all require power. The fact that a venue has several wall sockets doesn’t establish that its electrical supply can support every item operating simultaneously.
Confirm each supplier’s requirements and agree the proposed electrical arrangements with the venue in advance. Cables should be routed and protected appropriately so they do not create trip hazards or obstruct access routes.
Equipment should be installed and operated in accordance with the relevant supplier’s instructions. Avoid adding unplanned electrical equipment on the day without checking whether the venue’s arrangements can accommodate it.
Make Room for Christmas Decorations Without Compromising Safety
Festive decorations can change the atmosphere of a hall or function room, but they need to be considered alongside the equipment being hired.
Keep decorations clear of inflatable blowers, electrical equipment, heat sources and the operating areas of attractions. Avoid hanging decorations where they reduce the required ceiling clearance or interfere with equipment.
If your Christmas party includes decorative lighting, check how it will be powered and positioned. Loose cables, trailing decorations and poorly placed display items can create problems in busy areas.
The venue’s fire safety arrangements and any restrictions on decorations or electrical displays should also be followed.
Schedule Entertainment Around Food and Play
Not every activity needs to run at the same time.
A Christmas party might begin with games and children’s entertainment, pause for refreshments and then move into a scheduled performance or presentation. This can help organisers manage the flow of guests and reduce competition for the same space.
